Managing changes

Review and record approvals

Record an independent decision with a clear rationale at the appropriate approval gate.

Who can use it
Users with approve permission who are not the request owner.
Where to find it
Request > approval panel below the work area.

Step by step

  1. Read the request scope and relevant task responses before making a decision.

  2. At the Approval stage use the request gate; at Validation use the release gate. The decision form only appears for the active gate.

  3. Select Approved, Changes requested, or Rejected.

  4. Enter a rationale. It is required for rejection and requested changes. Confirm that you reviewed the current request scope.

  5. Record the decision and verify the displayed decision, approver, and time.

What to know

Independent review

The owner cannot approve their own request. Another authorized approver must record the decision, even when the owner has approval permissions.

History versus action

Previous decisions remain visible. A visible decision history does not mean a new decision is available in the current stage. An approval decision and a request stage are distinct records.
